Job Description


About the Role

We're looking for an organised and proactive HVAC Scheduler to join our Precise Air team in QLD.

In this role, you'll coordinate technicians, schedule planned maintenance, manage service jobs from start to finish, and support the day-to-day delivery of our fire service contracts.

Working closely with our Service Team, clients, and subcontractors, you'll play a key role in ensuring work is completed on time, customer expectations are met, and our systems remain accurate and up to date.


What You'll Be Doing

  • Scheduling technicians and subcontractors across metropolitan and regional QLD
  • Coordinating planned preventative maintenance and reactive service work
  • Liaising with clients to organise service attendance and close out work orders
  • Setting up new contracts, sites, assets, and service jobs
  • Maintaining accurate records in Pronto, Uptick, and client portals
  • Processing completed jobs, purchase orders, and customer invoices
  • Assisting with monthly billing, reporting, and operational administration
  • Monitoring contract KPIs and supporting service delivery performance
  • Supporting timesheet processing and general administrative activities
  • Working closely with Team Leaders, Service Managers, and Finance

What You Bring

  • Previous experience in scheduling, service coordination, or administration
  • Strong organisational skills with the ability to manage competing priorities
  • Excellent attention to detail and commitment to accuracy
  • Confident communication skills and a customer-focused approach
  • Ability to work collaboratively across multiple teams
  • Intermediate Microsoft Office skills
  • A proactive attitude and willingness to improve processes

Nice to Have

  • Experience using Pronto, Uptick, Corrigo, or similar ERP/service management systems
  • Experience within the fire protection, HVAC, building services, maintenance, or trades industry
  • Understanding of service contracts and planned maintenance scheduling

Additional Information

You may be required to complete audiometric testing within your first 3 months to establish a baseline (fully covered by the company). This does not impact hiring decisions or employment terms.
